A to Z Accountants Data Policy in line with GDPR

A to Z Accountants is committed to protecting your rights and protecting your data in line with GDPR  (General Data Protection Regulations) which comes into force on 25th May 2018.

The main principles of GDPR

We will comply with the eight enforceable data protection principles by making sure that personal data is:

Specifics to our data collection and processing.

  • Collection of data

For clients we collect names, email addresses, postal addresses, and telephone numbers including landlines and mobiles.

Unless instructed to delete the data, we may keep on file the data of previous clients.

We may collect names, email addresses and telephone numbers of non-clients.

  • Reason for collection

The main reason for data collection is for communication with clients via email, telephone and post.

We also send out newsletters and occasional marketing emails to people on our databases.

  • How data is collected

Data may be collected from a number of sources including from company quote documents, received emails, website contact forms and telephone calls.

  • Who is collecting the data

Data may be collected by any member of staff within the company.

The person responsible for Data protection is Hatim Rajabali (Director). Only certain members of staff will have access to the data.

  • Where is it stored

Data is stored in several places listed below, all of them are secure with antivirus software, encryptions and firewalls, only certain members of staff have access to them.

  • Echo our own CRM and invoicing system
  • Emails on computers and our own email server
  • Physical files for quotes and contracts
  • Asana (Online work scheduling tool)
  • MailChimp (Email marketing company)

 

  • Who will it be shared with

We do not regularly share data with any third party.

Very occasionally we may need to share some of your data with another company to allow us to successfully perform our work but we will not do this unless we have your expressed permission.

  • Removal/Correction of data

If you would like us to correct any of the data which we have for you, please drop us an email at info@atozaccountants.co.uk, telling us the correction.

If you are not a client and would like us to remove your data from our systems you can easily do so by dropping an email to info@atozaccountants.co.uk and tell us you wish to be removed.
